Customer Service Representative

The Customer Service Representative is key to the online ordering process and administration while establishing excellent customer service by effectively responding to customer queries and requests through the online chat function. This role also includes the efficient monitoring and coordination of product listings online, organizing records and documentation, and working with cross-functional teams to continuously improve online customer service.
Main Responsibilities
Online Order Administration
- Receive and complete online orders accurately and efficiently.
- Verify online order details and ensure accuracy with Syspro orders (addresses, branches, warehouses, taxes).
- Follow our Online Order Process Manual for efficient order distribution.
Customer Service and Chat Functionality
- Guide customers through the order process as required.
- Effectively chat online with customers who ask about product and service information.
- Address or escalate customer complaints to the right department; follow up on issues to ensure resolution.
- Manage non-sales requests (service, warranty, flyers, etc.).
- Utilize other communication channels such as emails / phone calls to promptly address inquiries and requests for assistance.
Additional Responsibilities
- Coordinate to add/remove and correct products on the website.
- Help maintain support materials such as the kit component listing.
- Maintain accurate records of customer interactions, orders and requests.
- Provide general administrative support to the team as needed.
- Collaborate with cross-functional teams to improve customer service processes.
- Contribute ideas to enhance customer experiences.
Qualifications:
· High school diploma with some post-secondary education in business, operations, or logistics / supply chain
· Experience in order fulfillment and customer-facing roles utilizing chat functionality.
· Strong verbal and written communication skills are a must.
· Naturally adept at navigating computers, software, and enterprise systems such as Syspro
· Familiarity with inventory management and order processing procedures
· Organizational skills and attention to detail
· Customer orientation and experience in resolving complaints or interpersonal conflicts.
